Why is 'musk 10, rose 20, vanilla 5' not a usable formula sheet?
Compare vanillin with a vanilla pod: one is a specified chemical and the other a complex botanical material. A vanilla note is a broader sensory description.

Named odor notes are not ingredient identities
'Rose 20' might refer to rose oil, a supplier base, a molecule or a sensory score. It is not an actionable formula line. A professional sheet identifies supplier material, reference code, actual dilution status, batch ID and an explicitly defined unit such as mass percent of the concentrate. Keep missing details visible rather than pretending a perfume note is a fully specified raw material.
Design the record before filling it
Start with project ID, formula ID, version, date, owner, finished-product category, linked brief and safety-review status. Each material row should include verified material ID, supplier, stock concentration, weighed mass, computed neat content and optionally intended sensory role. Close with total mass reconciliation and separate sensory observations from accounting data.
Linalool contains an OH alcohol group. One functional group is insufficient to predict every molecule’s odour or the performance of a mixture.

Create a conceptual Demo-F01 with a leading-character group at 40 parts, support at 35 and a background role at 25, totaling 100 abstract design points. These numbers represent relative planning roles, not physical ingredient percentages or mixing instructions. Each role may require many specified materials, plus safety and stability review before any actual formulation.
Stock concentration belongs in each row
Suppose 5 g of a supplier's 10% w/w stock of X is weighed; actual X is 0.5 g and the remaining 4.5 g is solvent. Mistaking the stock mass for neat X exaggerates X tenfold in one calculation. Conversely, recording neat material as diluted dangerously understates the actual contribution in safety calculations.
A formula ID must be immutable in meaning
Do not overwrite F01 with new amounts while treating it as the original test. A deliberate material or amount change requires a new revision, rationale, date and review trail. Include author and reviewer fields, and whether the formula is conceptual or physically tested. Editing marketing descriptors is not equivalent to changing ingredient identity in a controlled record.
Use material data for compliance
A compliance review requires verified identities and contributions from potentially restricted constituents, relevant supplier conformity documents and finished-use exposure data. Typing 'IFRA OK' next to a spreadsheet without specifying current requirements, product use and concentrate loading is not evidence of compliance. 'Natural' or 'clean' marketing words cannot replace documentation.
What a good formula sheet enables
A good sheet lets another qualified team member identify actual materials, their masses and stock strengths, see version history and know which tests remain. It also connects to a sensory evaluation record without confusing 'pleasant odor' with passed quality control. Controlled documentation reduces copying, dilution and revision errors.
Case: two lines called Rose
Supplier A offers a defined rose absolute while supplier B provides a ready rose accord. Labeling both simply 'Rose' erases material identity and applicable constituent restrictions. Use distinct RM-101 and RM-102 IDs and traceable supplier records, keeping perceived floral similarity separate.
Practical case and exercise
Create a paper formula F-001 with columns for ID, supplier material, stock strength, weighed mass, computed neat mass and functional role. Use three fictional rows, reconcile total mass and clearly mark 'Not safety reviewed'.
